Minutes from last meeting:
Correction to last minutes: Proposed Grand Prix style Event on 14th May would be a joint venture with the Playground Committee – NOT Pre-School. Apologies for this mistake.
Matters arising:
Discos: both booked. Kristy to get music licence for 11th Feb. CB to do Poster for kids disco – 6-8pm KS1 parents to stay with children. Felicity to arrange float (£1 entry + drinks/ tuck shop) Maria to get stock for tuckshop/drinks.
Expenditure and question over £10K kept by Friends for laptops already purchased. Annabel advised that they are waiting to hear whether any of their funds will be clawed back by Govt. Should hear within the next month. Will then make a decision on this money. If it is not needed to replace money used by the school for the laptops, it could be used to buy new netbooks which school are looking to get anyway. 30 Netbooks with trolley = £12K Annabel to advise ASAP
New Astroturf area Grass matting has a short life span and would not be durable enough. Annabel advised that the existing astroturf area has just cost a lot of money to be relevelled. Could consider fake grass as alternative. Chris advised details of her contact from the Playground Advisory committee – Roger Davies, and Annabel will get in touch with him to discuss proposals. She also needs to check with council and diocese how much of the grounds they are allowed to use for other surfaces. Niki to ask Ian Stagg re DHL fundraising match scheme. CB to ask Felicity Dick re contribution to Friends from Charity Opera concert.
Gift Aid – Kristy advised that this only works for direct donations or sponsorship whereby the donor is not getting anything in return. Carl to investigate further to see whether we could get gift aid for Burns Night tickets.
Donation It was noted with thanks that the company Pete works for, Schlumberger, has donated £300 to the Friends.
Treasurer’s Role Felicity has agreed to help Kristy with this role. Felicity now deals with income, petty cash and floats. Kristy deals with expenditure, bank recs, licences etc.
Christmas Craft Fayre – this was a big success again. CB would like to hand over to someone else for next year.
Committee: CB reminded the group that she would like to hand over the secretary role after this year, and this also applies to Jess and Jo as Chairmen who would like to step down after this year.
Events for this year:
Burns Night – Saturday 22nd
January Jenny and Mark Gordon have organized and tickets are now on sale @£10 to include haggis dinner. Max 100 tickets to be sold. Available in shop and at school. Need more volunteers to help with veg and pudding. Jo to coordinate volunteers. Niki to E-Mail class reps to get them to ask parents for volunteers. Maria to sort bar stock and buy more wine glasses. Jess to buy fizz. Julia to get hire glasses from Waitrose for bubbly and whisky. Carl to bring whisky measure on nightKristy to ask Rebecca about black table cloths. Claire Daniels to decorate hall with helpers. CB to bring ice on night. James Mansfield to bring music system and PA
Discos – 11 Feb kids, 19th March Adults – all booked.
Pamper Evening – Friday 1st April It was decided not to go ahead with this event as there is enough on already.
Appleton Grand Prix – Saturday 14th May – joint event with Playground committee. This is still not confirmed. Suggestion was made to change this to a boating event on the river. TBD at next meeting.
Camping Festival – Saturday 11th June 2011 Jess Adams organising. This is to be a family social event. Not specifically a fundraiser and not a music event as well.
Summer Fete – Sunday 26th June Elaine McKno coordinating. Meeting next week for sub committee.
AOB:
Uniform: Charlotte and Niki meeting with a company next week to discuss on-line purchasing of uniform.
Annabel asked whether Friends would contribute to any of the following:
Explorer Dome – mobile planetarium – coming end Jan. Cost £600. Could ask parents for £2 each or Friends could contribute half.
Art Project – artist to produce 3D bird to hang from ceiling in Hall. Children to make feathers. Cost approx. £500.
Mrs Smith has requested a sandpit cover. Cost around £200.
Committee discussed options and agreed to pay £300 towards Explorer Dome and £200 for sandpit cover. Jess to advise Annabel and to ask that this is mentioned in the next newsletter.
Date of the next Friends meeting Tuesday 8th March – The Plough at 8.15pm
