Committee Meeting 25th May 2011

Minutes from last meeting – Matters Arising:
Halloween event – Carl to speak to David Gow
Fireworks – Robin has spoken to his contact but it is too expensive as cost would be around £2.5-3K
This could still be considered on a lower scale – Carl to investigate
Events for this term:
Camping Festival – Saturday 11th June
Jess Adams organising. Flyer has gone out in all book bags. Poster to go on school gate after Half Term. Chris has Blackboard and will liaise with Jess re this.
Niki to order glow-sticks
Summer Fete – Sunday 26th June
Elaine McKno coordinating. All in hand but more volunteers needed for on the day. Clipboards will come out after Half Term. Class reps to take a few stalls each and help to get volunteers.
Elaine to let school know which class rooms are needed.
School sports night – 1st July
Claire to send rota for BBQ and Bar to Elaine as she will try to get volunteers especially from people who can’t help at fete.
Burgers, sausages already ordered along with fete requirements
Kristy to ask Milly if she can rolls for sports night as well as fete
Disco – 15th July
Children’s disco. Jess to book disco man.
Next Year – New committee
Jo, Jess, and Claire are giving up this time. Kristy and Felicity would also like to hand over the Treasurer’s role although will still continue in some capacity if needed.
Carl has offered to put himself forward in the role as Chair
Kristy has spoken to Jo Loots about the Treasurer’s role and she is thinking about it.
We need to also find someone for the role of Secretary, bar stock and also new Class reps. All nominations for any of the roles will be welcome.
Everyone at meeting agreed to ask in person whether anyone would be prepared to go for these roles, as well as a letter to be prepared by Jo and Claire to go out asap after Half Term. Niki to prepare ‘job description’ for Class reps to go with this.
This to include previously suggested ideas for class reps e.g. to organize more events themselves e.g. cake sales, disco etc.
Letter to include fact that the Friends are a registered charity and as such can not operate without a Chairman, Treasurer and Secretary.
Nomination form to go at bottom of letter for committee roles, and also an opportunity for people to donate money if they feel they are not able to help in person but want to contribute.
Friends information flyer to go out at New Parents Evening on 7th June. Carl to organise this.
Other Business
Mary Watts spoke about the impact of the last budget on the school and how the school could lose around £300 funding per child so it is important that we continue the work of the Friends to raise money as this may be needed for more general school equipment rather than extra curricular spending. The programme for supporting other schools has also stopped, e.g. whereby Mary used to go and support other schools in difficulty and extra money would come to Appleton School. However, we are hoping that Appleton may become a ‘School of Excellence’ whereby other schools will pay to visit our school to see how things are done.
Various ideas were shared about raising more funds, some lower key events with no organization e.g. more non-school uniform days, more cake sales etc. and also just asking parents for donations. Another suggestion was for private enterprise sponsorship e.g. for a particular piece of equipment or activity.
We also discussed the option of a Meeting called by Mary and the Governors for all parents to attend at which Mary can explain the financial situation and so that maybe some other ideas can be suggested in September. She should have some more information regarding the School of Excellence by then.
Mary also to say something at the Open Evening in July.
There was then a more informal discussion on other ideas for future fundraising: More children’s fundraising events e.g. bingo, film nightsSchool Lottery – people who want to enter give a certain amount of money, then someone wins a proportion of this money and the rest goes to the school.Bag to school – people fill a bag of clothes / toys and a company comes and collects them and pays money to the school for each bag.
AGM – date not set.
Will be after one of the parent’s evenings at the start of term in September.
Most imminent events next term are the Christmas Shopping Evening and Christmas Craft Fayre which we need someone to organize.
